Connect Xero

Getting startedUpdated

Xero stays your accounting source of truth — SmartM8 pushes customers and invoices over, and pulls bills and payment status back. You don't need it connected to start creating customers and jobs, but the sooner it's linked, the less double entry you do.

  1. Go to Settings and open the Xero accounting card. (The Connect Xero item on the dashboard's Getting started checklist and the Xero card in the setup wizard both start the same Xero connection.)
  2. Tap Connect Xero. You'll head to Xero to sign in, then land straight back where you started.
  3. Check the status pill on the Xero sync page shows Connected.

What syncs

  • Customers push to Xero as contacts — one way, SmartM8 to Xero.
  • Issued progress invoices push to Xero as authorised sales invoices, with every line tagged to the job's option under a Job tracking category — so Xero reports profit and loss per job.
  • Payment status flows back: mark an invoice paid in Xero and the matching SmartM8 invoice — and its job stage — flips to paid.
  • Supplier and contractor bills flow in from Xero and match to the right supplier, contractor, and purchase order. Unmatched bills are kept and surfaced for you to attach — nothing is auto-created.

Sync runs automatically every 15 minutes. Need fresh data right now? Tap Run sync now on the Xero sync page. If the status pill shows Needs attention or Action required, use Reconnect Xero.
